IlmTouch (“we”, “us”, or “our”) provides school and institution management software used by educational institutions and their authorised staff, students’ parents or guardians, and other permitted users (“you”). This Privacy Policy explains how information is handled when you use IlmTouch.
1. Who this policy covers
- Institution administrators and staff using the web or staff mobile portal
- Parents / guardians using parent-facing IlmTouch features where enabled
- Visitors to ilmtouch.com and related IlmTouch services
2. Information we process
Depending on how an institution configures and uses IlmTouch, the platform may process:
- Account details — names, login IDs, roles, permissions, and contact details for staff and parent users
- Institution / school data — school profile, classes, sessions, and operational settings
- Student and academic records — admissions, attendance, marks, timetable, documents, and related school records entered by the institution
- Parent / guardian details — names and phone numbers or other contacts provided by the institution for communication
- Fees and finance records — fee assignments, payments, concessions, receipts, and related ledger information entered by the institution
- Operational records — reception logs, transport, tasks, notices, messages, and similar features the institution enables
- Device and app information — such as device type, app version, push notification tokens, and basic technical logs needed to run and secure the service
- Optional device permissions — where a feature requests them (for example notifications, camera/files for uploads, or location for map/transport features). These are used only for the feature you or your institution enables
We do not sell personal information.
3. How information is used
- To provide, maintain, and improve IlmTouch features requested by the institution
- To authenticate users and enforce role-based access
- To send alerts or notifications the institution or user enables (for example notices or staff pokes)
- To protect security, prevent abuse, troubleshoot issues, and meet legal obligations
- To communicate service-related updates when needed
4. Legal bases and institutional responsibility
Institutions using IlmTouch are generally responsible for the personal data they upload or create about students, parents, and staff, and for providing any notices or obtaining any consents required under applicable law. IlmTouch processes that data to deliver the contracted service.
5. Sharing of information
Information may be shared only as needed to operate the service, including:
- With authorised users of the same institution (as controlled by that institution’s roles and permissions)
- With infrastructure or service providers that help host, store, deliver notifications, or operate IlmTouch, under appropriate safeguards
- When required by law, regulation, or valid legal process
- In connection with a business transfer, where permitted and with continued protection of personal data
Institution data is scoped per institution; one school’s records are not made available to other schools through IlmTouch.
6. Data retention
Data is retained while the institution’s IlmTouch service remains active and as needed for backups, security, dispute resolution, and legal compliance. Institutions may update or remove records they control through the product (subject to their own policies and permissions). After service ends, retention or deletion follows our hosting practices and any written agreement with the institution.
7. Security
We use reasonable technical and organisational measures to protect information, including access controls and institution-scoped data separation. No method of transmission or storage is completely secure; please keep login credentials confidential and contact us if you suspect unauthorised access.
8. Children’s information
IlmTouch is used by educational institutions and may store information about minors that those institutions collect for school operations. Parents or guardians should contact their school for questions about student records. The IlmTouch apps are not directed at children signing up independently outside an institution’s authorised use.
9. Your choices and rights
- Staff and parent users can request access or correction of their login/profile details through their institution administrator where appropriate
- Student/parent academic and fee records are managed by the institution; please contact the school for those requests
- You may disable notifications in device settings
- Where applicable law grants additional rights, contact us using the details below and we will guide the request to the right party
10. Third-party links and services
IlmTouch may link to or integrate third-party services (for example maps or payment-related flows where configured). Those services have their own privacy terms. We are not responsible for content or practices outside IlmTouch’s control.
11. International / hosting note
IlmTouch is operated for institutions primarily in India. Data may be stored and processed on servers used to host the platform. By using the service, you acknowledge this processing as needed to provide the product.
12. Changes to this policy
We may update this Privacy Policy from time to time. The updated version will be posted at this URL with a revised effective date. Continued use of IlmTouch after changes means you accept the updated policy, to the extent permitted by law.
